Privacy Policy
What we collect, why we collect it, and the one rule that matters more than any of it: we do not publish where your property is.

Pre-launch draft, in review
HunterPass has not opened access yet. This document describes how the platform is being built and is under review by counsel ahead of the first region opening. It is not yet an executed agreement, and it will be replaced by the final version before anybody transacts.
The short version
We collect what is needed to verify who you are, run a booking, move money, and keep a record that stands up afterwards. We do not sell personal data, we do not share it with advertisers, and we never publish a property’s exact location.
Location data is treated differently
This is the commitment the whole platform rests on, so it is stated before anything else.
- Public and marketing surfaces show an approximate region only. No coordinates, no boundaries, no gate codes, and no access directions — anywhere a search engine, a crawler, or a signed-out visitor can reach.
- Precise location data — exact coordinates, boundaries, parking, gate codes, and access notes — is released to a specific approved hunter for specific dates, by the landowner’s approval. It is released to that person, not published.
- Access to precise data is recorded, so a landowner asking who received their gate code and when has an answer.
- HunterPass staff can reach precise data only for support and safety purposes, and those accesses are logged.
What we collect
Information you give us
- Account and identity. Name, email address, phone number, and — for verification — government identity documents, hunting license details, and hunter-education certification.
- Role context. Whether you are a landowner, club, outfitter, guide, wildlife manager, or hunter, and the details you volunteer about your ground, roster, or the species you hunt.
- Property information. Boundaries, tracts, stands, access routes, improvements, and terms — supplied by the landowner or their managing club.
- Agreements. Signed waivers, access agreements, and club rules, with the version and timestamp of each signature.
- Activity records. Bookings, check-ins, harvest records, and habitat work you choose to log.
Information collected automatically
- Standard server and security logs, including IP address and user agent, retained for abuse prevention and troubleshooting.
- Privacy-respecting product analytics. We do not run advertising trackers or cross-site tracking.
Payment information
Card details and bank account details are handled by Stripe and never stored on HunterPass systems. We hold the record of what was charged or paid out, not the instrument that did it.
Why we process it
- To verify identity, licensing, and hunter education before access is granted.
- To operate bookings, calendars, waivers, and access approval.
- To collect dues and access fees and to settle payouts, including tax reporting.
- To maintain the records a landowner, club, or state agency may need afterwards.
- To keep the platform safe, including investigating incidents and abuse.
- To contact you about access in your region, and nothing else.
Who it is shared with
- The landowner or club whose ground you are accessing — your verified status, your signed waiver, and the bookings you make on their property. Not your unrelated activity elsewhere.
- Service providers that make the platform work: payments and payout infrastructure, email delivery, identity verification, hosting, and error monitoring. Each is bound to use the data only to provide that service.
- Legal and safety — where required by law, or where genuinely necessary to prevent harm.
Not shared: we do not sell personal data, we do not share it with advertisers or data brokers, and we do not aggregate club or landowner harvest records into a product we sell.
Your choices
- Access and export. You can request a copy of the personal data we hold about you.
- Correction. You can correct inaccurate details from your account.
- Deletion. You can request deletion, subject to records we are required to retain — signed waivers, transaction records, and incident reports have retention obligations that outlive an account.
- Email. Every non-transactional email carries an unsubscribe link. Transactional messages about a booking you made are not marketing and cannot be switched off while the booking stands.
- SMS. Text messaging is opt-in and TCPA-compliant. Reply STOP to any message to end it.
Cookies
We use functional cookies for sign-in and a small set of privacy-respecting analytics. We do not use advertising cookies or cross-site tracking.
Retention
Account data is kept while the account is active. Signed agreements, transaction records, and incident reports are retained for the period required to defend or substantiate them. Server logs are kept for a short window for security and troubleshooting.
Children
Accounts are for adults. Youth hunts are booked and supervised by an adult member, and a young person’s details are held under that adult’s account rather than as an independent profile.
